Managing submissions

Once your submission period is open, participants can start submitting their projects. As soon as they submit their projects, you will be able to:

You can see these projects in the Submissions area under Manage Hackathon as seen in the below screenshot. This area is where you will manage submissions throughout the hackathon.

Message the submitter

While reviewing submissions you can message the submitter directly from their submission to provide feedback or guidance to help them make their submission eligible for your hackathon.

So how do you do this? There are two ways:

  1. Manage Submission Page

Within the Submissions tab, click MESSAGE SUBMITTER for the associated submission you’d like to send a message to.

  1. Submission Page

From within the submission page, click the submission name and select the Messages icon, then click Send a Message.

Both options will open a window allowing you to enter a message which will be emailed to the submitter. If they respond to you, you will get their response in an email as well.

Mark their submission as Judge, Don’t Judge, or Maybe

Before sending your Judges all eligible submissions, you may want to narrow the list down to a smaller list of projects.

So how do you do this? For each submission, you can select a status: Judge, Maybe, or Don’t Judge. The judges will see only the submissions you have marked Judge

Maybe is a temporary status and should only be used for submissions you’re unsure about. All submissions will need to be marked as Judge or Don’t Judge before the judging period begins.

Please note: The judging period cannot start if any submissions are marked Maybe.

New submissions will have the status set as Pending and they will switch back to Pending if the submitter updates their submission.

Leave notes for other managers

While reviewing submissions, we suggest leaving notes so you and other managers can easily see if the submission was reviewed and reasons for marking the submission as Judge or Don’t Judge.

To add a note, go to the submission page and select the Note icon within the admin module.

Hide spam or unrelated projects

While we hope all of the submissions you receive are relevant, there are usually a few submissions that might be spam or unrelated.

What do you do? To ensure these submissions don’t show up in your Project Gallery, mark them as Hidden
